Getting started

Invite Infraxus to your file. Two minutes, and the 48 hours start.

Everything happens inside the QuickBooks Online or Xero file you already own. You add Liam as a user, the same way you would add your CPA. No banking password, nothing to install, and you can remove the access in one click at any time. These are the exact clicks, easiest on a computer; on a phone, the same menus are behind the gear icon.

First, which one are you

Pick the one that fits.

You do the books for a partner's or a family member's business? Then you are the person Liam will be talking to, and the invite is two minutes for whoever owns the login. Forward them the message under someone else owns it and Liam takes it from there. If the owner needs convincing first, the first month is free and nothing is signed, so the file can be clean before anyone decides.

QuickBooks Online

Invite Infraxus as your accounting firm.

Accountant access is the role QuickBooks Online built for exactly this: it lets Liam reconcile, code and close inside your file without being the owner of it. You stay the primary admin.

    Open Settings, then Manage users.

    Sign in to QuickBooks Online on a computer. Click the gear icon (Settings) at the top right, then Manage users under Your Company.

    Open the Accounting firms tab and invite.

    At the top of Manage users, choose the Accounting firms tab, then Invite firm. The address to enter is Liam's own Infraxus email address. Enter liam@infraxus.com and click Invite.

    Done. Liam accepts the invite and the 48 hours start.

    QuickBooks emails the invitation to Liam. He accepts it, texts you that he is in, and the cleanup back to January 1 begins. The invite shows under Accounting firms the whole time, with a Delete link beside it that is yours to use.

Xero

Invite Infraxus as an Administrator.

Administrator is the Xero role to choose: it allows the weekly reconciliation and the month end close, and you can see and remove it from the same screen at any time.

    Open Settings, then Users.

    Sign in to Xero. Click your organization name at the top left, choose Settings, then Users.

    Invite a user, choose Administrator, send.

    Click Invite a user. First name Liam, last name Collier, email liam@infraxus.com . Under Business and accounting, choose Administrator. Click Send invite.

    Done. Liam accepts the invite and the 48 hours start.

    Xero emails the invitation to Liam. He accepts it, texts you that he is in, and the cleanup begins. Liam appears in your Users list with the role beside his name; the Delete option on that row is yours.

Someone else owns the file

Forward them this.

Your CPA, your business partner or a former bookkeeper may be the primary admin. Send them the message below. If a former bookkeeper still holds the login and has gone quiet, tell Liam in your first text.

No accounting file yet

Starting out, or still in a spreadsheet? Nothing to do first.

If you are not on QuickBooks Online or Xero yet, Liam sets the file up with you at no cost, so it is right from the first month. The QuickBooks Online or Xero subscription itself is separate and paid to them. Text Liam and say so; he walks you through it.

After the invite lands

What happens next, and when.

    Within 15 minutes, 9am to 9pm Eastern.

    Liam texts you that he is in. He asks two things if he has not already: roughly how far behind the file is, and whether anything needs attention first, like a letter from the IRS or a loan that never made it into the file. If you send it after 9pm, you hear from him first thing in the morning.

  2. 02

    Within 48 hours.

    Your file is cleaned up back to January 1, or the start of your fiscal year if it differs: every transaction coded, the bank reconciled, loans entered, personal spending separated. You get a short note on where you stand and what needs a decision. Anything before that is quoted in writing before it is touched.

  3. 03

    Every week after.

    Reconciled, coded, receipts matched, who owes you and who you owe kept current. Month end closed by the fifth business day, with a CFO note on what the numbers mean. Nothing is charged in the first month, and you add a card only if you want to continue.

Infraxus never asks for your online banking password, and you can remove the access in QuickBooks Online or Xero at any time. How your data is handled.
